The DBS Tracking Service: The Stages

DBS Tracking Stage 1: The DBS Application is Received
When the DBS (Disclosure and Barring Service) receives an application, they will check for any errors or omissions. If any are found, it is returned to our Countersignatories, however, as we put the utmost care into our work, this is very unlikely to happen. It may also be returned if the DBS has any questions or clarifications regarding the DBS form.
DBS Tracking Stage 2: The DBS Application is Reviewed
The applicant’s data is compared against details held on the Police National Computer, identifying possible matches.
DBS Tracking Stage 3: Children’s and Adult’s Barred List Search (If Required)
If eligible for the applicants’ role, the Children’s and Adult’s Barred List check will be searched. This will tell you whether the individual is allowed to work with Children/Vulnerable Adults.
DBS Tracking Stage 4: Local Police Record Check
At this stage, the form is sent securely to any relevant local police forces for a check against their local records.
This stage is only done for Enhanced checks.DBS Tracking Stage 5: The DBS Certificate is Printed!
Once all the information has been found and checked, the DBS certificate is ready. All the information that is disclosed is printed under highly secure procedures and then posted to the applicant’s address. Only the applicant can reveal the information contained on the DBS certificate. However, our online system can tell you the result of the DBS check: whether it came back clean, or if you should wait to see the information on the certificate.
Why is my DBS Check Taking so Long?
There are multiple reasons why a DBS check could take longer than expected. Some possible barriers can include multiple entries being found in police databases for the same name, an application that has to go through multiple police forces, or requests for extra clarification from the candidate being required. A DBS tracking service can be very useful in these cases, as it lets the applicant know at exactly which stage the application is stuck on.

DBS Online Tracking Vs The DBS Update Service
The DBS tracking service is not to be confused with the Update Service, which allows applicants to keep their Standard and Enhanced DBS checks up to date using their unique DBS certificate number.

If your application was completed through Aaron’s Department, using our DBS tracking service and status checking is as simple as logging in and finding your application! You can then view which stage your application is at, as well as the date that it entered that stage.
If you haven’t completed your application through us, and your Registered Body aren’t providing this service, you will have to visit the DBS website, and view the DBS Application Tracking section.
